Turning a Conference Into a Coding Workshop in 60 Minutes

When a global data and AI platform brought 800+ industry leaders, data professionals and innovators to Mumbai for its flagship India conference, the brief went well beyond registrations and a run-of-show document. Every touchpoint, signage, stage content, digital screens, even the walk-in music, had to meet the brand's global production standards. For a company whose own product is used by some of the most demanding engineering teams in the world, "good enough" was never going to be good enough.

The Brief

The conference was built around a single day of keynotes, breakout sessions and a hands-on technical track, all inside one five-star venue in Mumbai. On paper, that's a fairly standard conference format. In practice, it meant designing an experience that could shift gears without attendees ever feeling the transition: from a theatre-style keynote hall in the morning to a live, hands-on coding workshop by the early afternoon.

The catch was time. There was exactly one lunch break between the two, roughly 60 minutes to turn a 300-seat auditorium into a fully functional classroom-style workshop space, laptops and facilitators included, ready the moment attendees walked back in.

The Hero Moment

This is where most event plans quietly fall apart. A full room reconfiguration inside a lunch break sounds simple until you account for what it actually involves: stripping out theatre seating, bringing in classroom tables and chairs, laying and testing power and network connections for 300 devices, positioning laptops and peripherals at every seat, briefing a fresh set of technical facilitators, and resetting the AV and signage to match the new session, all while catering runs in an adjacent hall and 800 attendees have no idea any of this is happening.

We planned this months in advance, not on the day. The workshop furniture and equipment were pre-staged in a holding area just out of sight. Crew assignments were choreographed down to the person, who moved what, in what order, and by when and rehearsed against the clock before the actual event. Cabling and power were pre-tested earlier that morning so that the only work happening during the break was physical setup, not troubleshooting.

The result: zero downtime, zero visible seams. Attendees walked out of a keynote and back into what looked like a room built for coding from the start.

Why It Mattered

For a brand operating at this scale, a hiccup in that transition wouldn't just be an inconvenience, it would be a visible gap between what the brand promises its customers and what it delivers at its own event. Precision like this isn't a nice-to-have on a conference of this size; it's the baseline expectation.

That's also the difference between an agency that can run an event and one that can run a brand's event. It's not just about staging a keynote or managing a guest list, it's about understanding that every touchpoint, including the ones nobody's supposed to notice, is still a reflection of the brand standing behind it.
